The following content provides a sampling of the features and benefits of
Microsoft Dynamics™ GP Receivables Management.
Setting up Customer Records
Customize Customer Classes
A customer class helps you group customers by similarities. For example, you
can group customers by their credit limit, location, or business size. This feature
provides defaults for new customer records. Using the class roll-down feature,
you can change information quickly for an entire class of customers.
Tailor User-Defined Fields
To track additional information specific to your business, use the two userdefined
fields provided in the Customer Maintenance window.
EXAMPLE: Use one of the fields to track customers by type. You could then
print a report comparing customers of each specific type being tracked.
HINT: User-defined field 1 can be used for sorting purposes on reports. Userdefined
field 2 can be used for sorting purposes when using Report Writer to
create or modify reports.
Use Customer Holds
A hold prevents any sale being made to a customer. You can place holds on
customers whose accounts are 30 days past due, for example, or those who have
exceeded their credit limit.
Maintain Customer Records
Microsoft Dynamics GP allows you to enter and maintain information for each
customer. You can track fiscal period and calendar year sales information for
each customer.
Keep History
Microsoft Dynamics GP allows you to maintain yearly totals for each customer
by keeping history for:
• Transactions
• Distributions
• Calendar and fiscal periods
Historical records enable you to view past customer activity and print reports to
determine which customers are best suited for your business.
Recording Transactions
Customize Transaction Entry and Posting
Transactions can be entered individually or in single-use or recurring batches.
Recurring batches are useful for transactions that occur regularly, such as
charging customers monthly health club dues.
You can post these transactions:
• Weekly
• Monthly
• A specified number of days
Scheduled Payments
Payment schedules can be set up for customers that pay their invoices on an
installment basis. You can calculate interest, amortization amounts, and perform
what-if analysis to assist you when determining:
• The best interest rate
• The payment amount
• The number of payments and frequency
Entering Payments
Record Writeoffs and Discounts
If a customer defaults on paying a portion of an invoice, you can write off the
amount. Or, if a customer takes a discount outside a discount period, you can
grant the discount and accurately record the amount as a discount taken.
Manage NSF Checks
This function can be used to do the following:
• Mark checks as NSF
• Assess non-sufficient funds charges
• Void the NSF payment
NOTE: Marking checks as NSF automatically unapplies a check.
Printing Reports
Customer Statements
Customer statements can be printed in a variety of ways.
Analysis and Audit Reports
Trial balance, customer, and sales reports can be sorted and printed a variety of
ways, providing up-to-date analysis of your sales activity. Many different reports
and lists can be printed in Receivables Management to create a permanent audit
trail of transactions.
Historical Aged Trial Balance
You can print a Historical Aged Trial Balance to view aged trial balance
information from a previous aging period.
Reports to Multiple Locations
Reports can be sent to the following outputs:
• File
• Printer
• Screen
Querying Information
Zoom to a Transaction's Origin
Microsoft Dynamics GP has unique querying tools that provide a total financial
picture by allowing you to zoom on the origin of a transaction. This feature is
helpful if you suspect an error in a transaction and need to trace it back to its
origin. You can also use Receivables Management's inquiry windows to access
documents and customer balances in both detailed and summary form.
Perform Inquiries
Microsoft Dynamics GP allows you to perform inquiries on the following:
• Unposted transactions
• Posted transactions
• Historical transactions
• Customer credit and history information
Microsoft Dynamics GP also allows you to view your total receivables balance
and the balances in the appropriate aging periods.
Integration
Integration is the process of linking two or more modules to form a
comprehensive business management system. When you install Microsoft
Dynamics GP modules, they are automatically integrated. Information is shared
between modules, making data entry:
• Faster
• Easier
• More accurate
You can print reports that are more detailed than is possible in a manual
accounting system, because information entered in one module can be combined
and analyzed with information from other modules.
Information from Invoicing and Sales Order Processing updates the Receivables
Management module. Receivables Management information also updates the
General Ledger module and the Bank Reconciliation module.
