Howard Rogers of Hall's Pensacola Wholesale Floral have retired their current Custom System, and have gone live with BMA. This WFFSA (Wholesale Florist & Florist Supplier Association) from the sunny beach of Pensacola, Florida chose BMA because of its capabilities to manage his quick ordering and handle his perishable inventory. He especially likes the ability the system had to handle his physical inventory counts that they take every month. "In our old system there was no clean way to do it. We just would write them on paper and then write the quantities out. Now with BMA we can print out just sheets for each section of the greenhouse without taking the time to write them." They were impressed with the ease of the system and how quickly their employees picked up on it and started going. They like the reporting side and the ability that they have to manipulate form designs easily. Another big upgrade when switching to BMA is the ease of performing the End of Month procedure. When completing this task in their previous system it could take between 2-4 hours to complete. With BMA this procedure can be completed in 10 to 15 minutes. In the future they plan to fully utilize BMA's landed cost figures to give them complete control over price increases caused by shipping charges, and also to fully use BMA's Payroll module.

Sales Tool: Here is a feature that can help with contract customers!

   Contract Billing

An enhancement recently released to BMA is the ability to conduct contract billing through Order Entry easily. Once active a user can easily generate repeat orders and invoices for a customer that receives a service each month from the company. The functionality of this feature has been enhanced to allow easy creation and completion of an invoice directly from a selection screen instead of having to search through the system. All documents declared as contract will be repeat orders that the user can use over and over again for the course of their business contract.

What does this do for you?

Makes contract customers easier to deal with. Trust us we know how busy things get behind the counter and the last thing you need is looking for someones contract order slowing you down. Create the contract order, designate the days between the orders, and the system does the rest. Based on the days the system will bring up only the contracts that are for the date designated. Simply designate the time of the month that you want to generate the orders for and the system does it for you and it will even create the invoice too.

Quick and simple!

With the setup complete in BMA contract billing becomes a selection on BMA's Order Entry screen. The best thing is that access to this feature can be limited by user so that only certain people have access to continuing contract billing. Click the "Contract Billing" on the front screen and gain access to the search screen where you find your contract orders that need processed for that time of month. 

Who should use this feature?

Contract Billing is for any company who performs a service each month for its customers. This feature can also be used to having monthly repeat stock orders for a customer generated.

  1. Quick Contract Invoice creation. Create the contract order, and then re-create it as many times as you want to for the lifespan of the contract.
  2. Ease to generate these orders effectively and accurately. Once one is created there is no need to make another one.
  3. Helps keep your sales consistant so you can deliver an invoice at the time of sales without having to ask a customer over and over.
