Phoenix Conversions – Wholesale & Retail Distribution
Phoenix Conversions is an automotive and sport utility restyling and accessory superstore with offices in Knoxville, Nashville, and Memphis Tennessee. They are also a regional parts distributor providing products and installation services to both the retail and wholesale market.
Phoenix Conversions had a requirement to extend their computer system from solely wholesale distribution sales to include retail sales. This created a need to track customer vehicle and warranty information. While addressing the conversion issues, the company opened their new site in Nashville, which created a whole new problem, multi-location management.

  • PROGRAM ENHANCEMENT
  • The BMA software was enhances in order to allow for specific customer information entries that would help the salesperson identify a particular customer vehicle and what services are to be performed on the vehicle. This information is then attached to the order/invoice and stored in the customer’s permanent record for future reference.
  • Higher levels of Customer Satisfaction and Increased Profits were achieved by adding prompts that assist the salesperson when entering customer parts orders. If the ordered part is one that can be installed, BMA prompts the question of installation to be asked of the customers. If installation is desired then the appropriate charges are automatically added to the order prior to processing.
  • The Nashville site solution included the installation of a “Real Private Network” (RPN) between Knoxville and the new location. A Microsoft Terminal Server was installed to run the BMA software and now salespeople can view and sell inventory from both locations allowing for better ETA dates. This has increased the level of Customer Satisfaction thus Increasing Profits.

National School Products – A Flexible Accounting Solution
National School Products is a leading supplier of educational materials supporting customers throughout the United States. They needed a flexible and informative accounting package in order to conduct their daily transactions.

After evaluating ACCPAC, Great Plains, Solomon and other “Out of the Box” products, they chose Business Computer Resources to provide a solution.

  • IMPLEMENTED BUSINESS MANAGEMENT ACCOUNTING (BMA)
  • Inventory: Product Images and catalog pages were placed on-line to assist their Account Reps with customer purchases. Both the customer and the salesperson can see the potential sale items at the point of purchase. By eliminating ordering error, operational costs decreased while Customer Satisfaction increased.
    END RESULT: INCREASED PROFITS
  • Shipment Tracking: Business Computer Resources created an interface so that the UPS tracking system that National School Products used interfaced directly with the BMA software. This allowed delivery information to be provided to their customers very expediently resulting in increased Customer Satisfaction.

  • BMA’s Graphical Forms Designer allows National School Products to create Laser Generated, Professional Looking customized business forms. These forms can be designed to work in conjunction with specific customers and/or their own internal operations.
  • Report Writer allows National School Products to create specific operational and management control reports.
  • Both of these BMA features allowed the customer to customize their daily paper trail to fit their specific business needs. They are able to access the specific information that is important to the operation of their company, which allows them to take a more Pro-Active role in supporting their customers in a more efficient manner.
  • Professional, Laser-Generated in-house created forms also decreased overhead spending by eliminating outside printing sources.

Oozx USA – Manufacturing Inventory Management
OOZX USA manufactures tappets for the automotive industry. Having the ability to control and track inventory costs is important to any manufacturing company. When OOZX USA receives inventory from a vendor, the receipt is entered against the purchase order. The difficulty occurs when other invoices for freight, duties, etc. are received from other vendors for the same inventory receipt. The distribution of these additional costs is a time consuming process.

  • IMPLEMENTED BMA
  • BMA made it possible for OOZX USA to streamline the inventory valuation process. Invoices for product and related services are entered against the same set of receipts and these receipts are used to automatically distribute the invoice amount across all items on the receipt prorated by cost, weight, or quantity.
    END RESULT: IMPROVED EFFICIENCY
  • “Where Used” information for each stores item is maintained for in-house equipment repairs which allows for increased management of inventory. This reduces costs, which allows for “Increased Profits”.
  • Bills Of Material are processed for each phase of inventory that OOZX USA maintains. This includes raw materials, “work in progress” products and finished goods. This improves inventory management and with the finished goods Bill of Material, the component items inventory is constantly updated.

RPC – Manufacturing Control and Employee Tracking
RPC is a powder coating company that utilizes different colors of powder to paint their customers’
Parts. The lack of automation on their lines, which would, in turn, tie into their accounting process, allowed for continual revenue losses. They needed to be able to track customer items from the point of receipt, through various points of the coating process and eventually to the shipping dock. They were also paying additional overhead costs for outside sources to maintain their payroll.

  • IMPLEMENTED BMA
  • After the installation of a new server, several computers and scanning equipment, BMA allowed RPC to track customer product by creating a scanning interface for receiving of product by bar code. As the items move through the painting process the same bar code is scanned at each station Bills of material can automatically be executed as the products pass through each step allowing for internal inventory costs reports along with management of the inventory.
    END RESULT: IMPROVED MANUFACTURING EFFICIENCY
  • BMA automatically emails RPC’s customers as to what process their products are going through from the point of receipt until the item is shipped back to them. This allows the customer to know in “real time” what ETA’s they are looking at in order to receive their products back or allows them to schedule pick up times. This increases Customer Satisfaction, which allows for Increased Profits for RPC.
    END RESULT: IMPROVED CUSTOMER SATISFACTION AND INCREASED PROFITS
  • BMA’s payroll module allows RPC to maintain their payroll internally. Employees scan their badges into the time clock system and supervisors can check the “at work” status immediately after the start of any shift right on screen. If an employee clocks in or out outside of the predefined allowable time variances then an exception report is generated for the supervisor and plant manager. This allows the management to tally employee attendance and productivity.
